- Uploaded Documents and Workspace Content: files, documents, filenames, folders, notes, metadata, document categories, and related content uploaded or submitted to the Service.
- Workspace Activity: actions taken inside the application, such as uploads, downloads, edits, deletions, access events, user invitations, and settings changes.
- Usage Data: pages visited, features used, browser and device details, approximate location data, logs, diagnostics, and basic analytics information.
- Payment Information: payment and subscription details are processed securely by third-party payment providers such as Paystack. We do not store your full card details.
- Support Communications: emails, messages, support requests, and any information you provide when contacting us.
How We Use Data
We use your data to:
- Provide, maintain, secure, and improve TenderFolder
- Authenticate your account and manage workspace access
- Store, retrieve, organise, and display uploaded documents
- Manage subscriptions, trials, billing, cancellations, and account status
- Support team access, user invitations, and workspace administration
- Monitor reliability, troubleshoot bugs, prevent abuse, and improve security
- Communicate with you about support, billing, service updates, or important changes
- Comply with legal obligations and enforce our Terms of Service
How Uploaded Documents Are Processed
Uploaded documents and workspace content are processed only as needed to operate the Service. This may include storing files, making them available to authorised workspace users, generating previews where available, recording file metadata, supporting downloads, and maintaining backups or logs for reliability and security.
We do not sell uploaded documents or personal data. Users remain responsible for ensuring that uploaded documents are accurate, current, lawful, and appropriate for their tender submission needs.
Team Workspaces and Access
If you invite other users to your TenderFolder workspace, those users may be able to access documents and workspace content according to the permissions and features available in the Service. Workspace owners and administrators are responsible for managing appropriate access.
Data Sharing
We do not sell your personal data. We may share limited information only when necessary with:
- Infrastructure and hosting providers used to store files, host the application, deliver the website, and operate the Service
- Payment providers for subscription billing, transaction processing, and fraud prevention
- Analytics, logging, or monitoring tools used to understand product usage, reliability, performance, and security
- Support and communication tools used to respond to enquiries and service requests
- Legal authorities where required by law, court order, regulation, or to protect the Company’s rights, users, or the public
Payment Processing
Payments and subscriptions may be processed by third-party payment providers such as Paystack. Payment providers may collect and process payment details according to their own terms and privacy policies. We do not store your full card number or full payment authentication details on our systems.
Data Retention
We retain account data, workspace data, uploaded documents, billing records, support communications, logs, and related information only for as long as reasonably necessary to provide the Service, comply with legal obligations, resolve disputes, enforce agreements, maintain backups, and protect the platform.
If your account is cancelled or deleted, we may remove or restrict access to workspace content according to our retention practices, product rules, legal obligations, and technical backup cycles.
Security
We take reasonable technical and organisational steps to protect your information, including access controls, infrastructure safeguards, and operational security practices. However, no online service, storage system, or transmission method can guarantee absolute security.
Your Responsibilities
You are responsible for using strong passwords, protecting account access, inviting appropriate users, reviewing workspace permissions, keeping your own backups where necessary, and ensuring that uploaded content may lawfully be stored and shared through the Service.
Your Rights
Depending on applicable law, you may have the right to request access to, correction of, export of, or deletion of your personal data. To make a request, contact us using the email address below.
Third-Party Services
TenderFolder may rely on third-party tools or integrations to operate parts of the Service, including hosting, storage, authentication, analytics, monitoring, support, communication, and payment processing. Their use of data is governed by their own terms and privacy practices.

The Service is not intended for children under 18.
International Processing
Some service providers used to operate TenderFolder may process or store data outside South Africa. Where this happens, we take reasonable steps to ensure that appropriate safeguards are used according to applicable law and provider practices.
